Xero

Xero is cloud accounting software for small and medium-sized businesses. It covers invoicing, bills, bank feeds and reconciliation, VAT, reporting and a large application marketplace. For a hotel or restaurant, it normally sits behind the property management and point-of-sale systems rather than replacing them.

The assessment

What stands out

Strengths

Approachable everyday accounting. Bank reconciliation, invoicing, bills and VAT are designed for small and medium-sized finance teams.

Large accountant and application ecosystem. Many UK advisers use Xero, and a broad marketplace can connect payroll, payments and operational tools.

Strong independent review evidence. Both G2 and Capterra have large product-specific samples.

Useful collaboration. Operators can give their accountant controlled access to current records rather than exchanging separate files.

Worth knowing

Xero does not understand rooms, covers, occupancy or hotel revenue centres by itself. A hotel still needs a suitable connection or controlled export from its property management and point-of-sale systems.

Departmental or multi-property reporting depends on the chart of accounts, tracking categories and the quality of imported data. Larger groups may outgrow this structure or need a separate reporting layer.

Reviews are broadly positive about ease of use and bank reconciliation. Recurring criticisms include support, occasional software problems and limitations that become more noticeable as a business grows. Confirm the plan, user access, expenses, payroll and connected-application costs rather than comparing the headline subscription alone.

Operational fit

Where it fits

  • Reconcile bank transactions and maintain the accounting ledger.
  • Manage invoices, bills, VAT and routine financial reports.
  • Share live finance records with an accountant or bookkeeper.
  • Receive summarised data from supported property, point-of-sale, payroll and payment systems.

Best suited for

Independent hotels, restaurants and small groups wanting accessible cloud accounting with strong UK accountant support and confirmed links to their operational systems.

May not suit

Complex multi-entity groups needing deep consolidation and controls, or properties expecting accounting software to provide hotel operations, point of sale or detailed operational reporting.
